Fox Personnel Recruitment, serving regional Victoria since 1999, has been engaged by one of our valued clients in the residential property sector to recruit an experienced and personable Client Liaison Administrator. This is an excellent opportunity to join a well-established organisation within the retirement living and residential property industry, supporting new home settlements, resales, and general village operations.

About the Role:

As the Client Liaison Administrator, you will play a key role in ensuring a smooth client experience from contract to handover. You’ll manage client communication, coordinate pre-settlement and post-settlement activities, and provide administrative support to the property operations team.

Key Responsibilities:

• Serve as the first point of contact for client enquiries (phone, email, and walk-ins).
• Assist the Estates & Assets Coordinator with documentation, revisions, and client presentations.
• Participate in builder and site meetings – scheduling, note-taking, and follow-up tasks.
• Liaise with tradespeople and on-site teams to ensure settlements are completed to a high standard.
• Guide clients through properties under construction and coordinate pre-settlement inspections.
• Prepare welcome packs and settlement documents; liaise with external lawyers regarding lease registration and documentation.
• After settlement, act as first point of contact for new residents, managing defect recording and reporting.
• Provide reception and general administrative support as required to ensure smooth daily operations.

Skills & Experience:

• Minimum 2–3 years’ experience in client-facing administrative or coordination roles.
• Excellent communication and interpersonal skills with clients, trades, and professionals.
• Strong organisational and time management skills, with attention to detail and the ability to prioritise.
• Proficient in Microsoft Word, Outlook, and PowerPoint; Excel skills highly regarded.
• Willingness to liaise on-site with teams and attend inspections as needed.
• Professional presentation, proactive attitude, and a strong team focus.
